📢 Custom Announcements for Jira & JSM
Welcome to Custom Announcements for Jira & JSM Documentation. This guide will help you set up, manage, and track targeted communications within your Jira and JSM instance.
1. Creating Your First Announcement
Note: If you are a Space Admin, navigate to your Space Settings > Apps > Custom Announcements.
Step 1: Create Announcement
Click the “Create Announcement” button in the top right hand side of the screen.
Step 2: Content Creation
Use the Rich Text Editor to draft your message.
- Formatting: Use the toolbar for bolding, headers, and code snippets.
- Media: Drag and drop or upload images directly into the editor.
- Markdown: The editor supports full Markdown syntax for power users.
Step 3: Choose Display & Placement
Decide how and where the message should appear:
- Display Type:
- Side Pop-up: A non-intrusive alert that appears in the corner.
- Modal Dialog: A centered pop-up that dims the background and requires user interaction.
- Placements: Select one or more locations:
- Help Center: The main JSM landing page.
- Portal Page: Specific Service Desk portals.
- Request Page: The customer view of a specific ticket.
- Work Item View: The internal Jira issue view for employees.
Step 4: Targeted Spaces
Select which spaces the announcement should be active in. If you are a Space Admin, this will be locked to your current space.
2. For Global Administrators
Setting Up Permissions
Before your team can use the app, you must authorize which spaces are allowed to manage their own announcements.
- Navigate to Jira Settings > Apps > Custom Announcements.
- Search Spaces: Use the search bar to select the Jira Projects or Service Desks.
- Enable/Disable Toggle: You can enable or disable each space to allow a local version of Custom Announcements to appear in their space settings.
3. Managing Announcements
The Announcement Dashboard is your hub for ongoing management:
- Reorder: Click the “Reorder” button and drag-and-drop announcements to change the priority. The announcements will appear in order from top to bottom.
- Duplicate: Open the more (…) button beside an anouncement and click duplicate to create a copy of that announcement.
- Preview: Open the more (…) button beside an anouncement and click preview to see how the announcement will appear to users.
- Edit: Open the more (…) button beside an anouncement and click edit to change the details of the announcement
- Delete: Open the more (…) button beside an anouncement and click delete to permanently remove the announcement
- Enable/Disable Toggle: Use the Toggle switch to stop an announcement from appearing without deleting it.
4. Tracking Acknowledgments
Every announcement comes with a built-in Acknowledge button.
- To view results, click the Eye icon to see who has acknowledged the announcement.
- You will see a real-time list containing:
- User Name
- Timestamp (When they clicked acknowledge)
- Location (Which page they were on when they saw it)
